Payment & Booking Policy

This Payment & Booking Policy explains how Premium Cars handles reservation requests, booking review, payments, deposits, cancellations, amendments, and confirmation flow. It is designed to provide clients with clearer expectations before a premium vehicle booking is approved.

1. Booking Requests

A booking request submitted through the Premium Cars website, form, email, WhatsApp, or other communication channel is treated as a reservation request only. A booking is not final until it has been reviewed and expressly confirmed by Premium Cars.

All bookings remain subject to vehicle availability, timing, operational review, document review, and payment approval.

2. Reservation Confirmation

Premium Cars may request additional information before confirming a reservation, including driver details, identification, pickup and return information, travel details, and payment or deposit information.

A booking is considered confirmed only when Premium Cars issues a clear confirmation message or confirmation notice through an approved business communication channel.

3. Rates and Pricing

Rates shown on the website or in booking discussions may be starting rates, estimated rates, promotional rates, or daily rates. Final pricing may vary depending on the selected vehicle, rental duration, pickup and return arrangement, add-ons, special services, chauffeur requests, delivery requests, late return risk, or any other applicable booking condition.

Premium Cars reserves the right to correct obvious pricing errors or system miscalculations before final confirmation.

4. Payments

Depending on the booking, Premium Cars may require full payment, partial payment, prepayment, or payment on approval before a reservation is finalized. Accepted payment methods may vary depending on the booking type and vehicle category.

No vehicle release or service confirmation is guaranteed until any required payment has been successfully received and approved.

5. Security Deposits

Certain bookings may require a refundable security deposit before the vehicle is released. The amount of the deposit may vary depending on the selected vehicle, rental duration, client status, location, or booking risk level.

The security deposit may be used to cover outstanding charges, late return charges, tolls, tickets, damage, excessive cleaning, smoking-related cleaning, missing items, refueling, administrative handling, or other rental-related losses attributable to the booking.

6. Pickup and Return Details

The renter must provide clear and accurate pickup and drop-off details at the time of booking or as requested by Premium Cars. Changes to pickup or return location, date, or time may affect pricing, availability, and booking approval.

Premium Cars may apply additional charges for delivery, relocation, extended wait time, after-hours service, or modified return arrangements where applicable.

7. Booking Changes

Requests to modify an existing booking, including vehicle change, date change, time change, location update, extension, or add-on request, are subject to availability and approval. A change request may result in a revised price, revised deposit requirement, or revised confirmation terms.

8. Cancellations

Cancellation terms may vary depending on the vehicle selected, notice period, promotional terms, and service arrangement. Where a booking is cancelled after payment has been made, Premium Cars may retain part or all of the booking amount, deposit, or service fee depending on the circumstances of the cancellation.

Late cancellations, same-day cancellations, no-shows, missing documentation, or non-compliance with booking requirements may result in reduced refunds or no refund at all.

9. No-Show Policy

If the client fails to appear, fails to provide required documents, fails to respond within the required confirmation period, or is otherwise unable to proceed with the booking for reasons attributable to the client, Premium Cars may treat the reservation as a no-show or failed booking attempt.

In such cases, any prepaid amount may be retained in whole or in part, subject to the booking terms applied to that reservation.

10. Refunds

Where a refund is approved, Premium Cars will process it using the payment method deemed appropriate for the transaction. Processing times may vary depending on the payment channel, payment provider, banking institution, or location.

Approved refunds do not include amounts properly applied to penalties, fees, administrative handling, vehicle loss, damage, tolls, tickets, late return adjustments, or other rental-related charges that remain payable under the booking.

11. Failure to Pay

If required payment, balance payment, deposit, or approved charge is not made when due, Premium Cars may suspend, decline, delay, or cancel the booking without liability. Premium Cars may also retain the right to recover any unpaid amount connected to the booking.

12. Vehicle Availability and Substitution

All bookings remain subject to availability. If a selected vehicle is unavailable for operational, maintenance, legal, or safety reasons, Premium Cars may offer a comparable alternative, revised schedule, or other solution where reasonably possible.

Vehicle substitution or revised arrangements do not automatically entitle the client to a refund unless expressly approved by Premium Cars.

13. Booking Refusal

Premium Cars reserves the right to refuse any booking or decline final confirmation where payment is incomplete, eligibility requirements are not met, required documents are missing, provided details appear inaccurate, or the booking presents operational, legal, insurance, reputational, or security concerns.
